Every HVAC company knows the pattern: frantic in the peak months, then quiet weeks in spring and fall when techs are underused. HVAC seasonal marketing automation fills those shoulder seasons by reminding past customers that their system is due a tune-up, right when you have the capacity to do it.
Your customer list is full of people who would happily book a tune-up if someone asked at the right time. But running a campaign means pulling lists, writing messages and tracking replies, and in practice it gets skipped until the phones are already quiet. By then the slow weeks have arrived, and there is little time left to fill them. A campaign that runs on schedule every year changes that.
How HVAC seasonal marketing automation works
Customers are segmented
Past customers are grouped by their equipment and last service date, so an AC owner hears about cooling in spring and a furnace owner hears about heating in fall.
Campaigns run on schedule
Spring and fall campaigns go out on dates you set, with messages written for each group, and you can approve them before they send.
Booking from a link
Customers book a tune-up straight from the message, choosing a time that suits them, without having to call the office.
Results are tracked
Bookings and replies are tracked for each campaign, so the next one can be improved based on what actually worked.
What it connects to
It uses the customer and equipment records you already keep, and puts bookings straight into your schedule. Your office team sees the booked visits like any others.
Field service software
Provides equipment details and service history, and receives new bookings.
CRM
Keeps contact details, opt-outs and campaign history.
SMS and email
Carries the campaign messages and booking confirmations.
Online booking

Questions
When should campaigns go out?
Shortly before your slow periods start, usually early spring for cooling and early fall for heating, so customers book into the weeks you most want to fill. The exact dates depend on your climate and your own calendar, and you can move them each year.
Can it target customers by equipment type?
Yes, as long as your records note what each customer has. Customers with heat pumps, furnaces or AC units can each get messages that make sense for their system, and customers with older equipment can be grouped separately if you want to mention replacement options.
Will it overlap with maintenance plan reminders?
It should not. Customers who already have a maintenance plan are usually left out of seasonal campaigns, because their visits are booked through the plan. The rules can be set so nobody gets two messages about the same visit.
Can I include a seasonal offer?
Yes, if you want to. You choose the offer and the wording, and it can be limited to certain customer groups or to the first weeks of the campaign. Offers are optional; many companies simply send a timely reminder.
