HVAC quote follow-up automation

Every open estimate gets a timely check-in and answers to the usual questions, so big replacement jobs don't quietly go cold.

The problem

System replacements and new installs are the biggest jobs you quote, and they rarely close on the spot. HVAC estimate follow up keeps those quotes alive after the visit, because homeowners need time, have questions about financing or timing, and often get other quotes too.

Your techs and sales staff move on to the next call, and the follow-up that would have answered a homeowner's question never happens. Estimates that nobody chases tend to close far less often than ones that do. Following up by hand on every open quote is hard to keep up when the schedule is full. A follow-up system makes sure every homeowner hears from you at the moments that matter, without adding work to anyone's day.

How it works

How HVAC estimate follow up works

  1. The estimate starts it

Sending an estimate from your field service tool starts the follow-up sequence automatically, with no extra step for the tech. Each quote carries the homeowner's details and the job, so messages can mention what was actually quoted.

  2. A check-in and answers

The homeowner gets a friendly check-in, then short answers to the questions people usually have, such as financing options and how soon the work can start.

  3. Your salesperson is alerted

When the homeowner replies or opens the quote again, the salesperson is alerted, so they can call while interest is high.

  4. Won or lost quotes exit

As soon as a quote is marked won or lost, the sequence stops, so nobody receives a reminder about a job already decided.

What it connects to

It runs from the estimates you already send, and reports activity back to the tools your sales team uses. No one has to remember which quotes are still open.

  • Field service software

Sends the estimate and tells the system when it is accepted or declined.

  • CRM

Records every message and reply against the customer.

  • SMS and email

Carries the check-ins and answers to common questions.

  • Financing links

Points homeowners to your financing options when they want them.

Questions

How many follow-ups go out?

Typically three to five over a couple of weeks, spaced out so they feel helpful rather than pushy. You choose the number and the timing, and you can use a different sequence for large replacements and smaller repairs.

Does it stop when the quote is accepted?

Yes. When the estimate is marked accepted or declined in your field service software, or when the homeowner replies, the sequence stops for that quote straight away.

Can it mention financing options?

Yes. One of the messages can explain the financing you offer and link to the application, worded the way your financing partner allows. It only mentions the options you actually provide.

Will my sales team see replies?

Yes. Replies are routed to the salesperson who owns the quote, by email, text or in your CRM, with the full conversation attached. They can take over at any time, and the automated messages stop when they do. Managers can also see which quotes have had replies and which have gone quiet.
