Document collection automation for law firms

Clients get a checklist and a secure upload link, reminders go out until every file is in, and documents arrive named and filed in the matter.

The problem

Most matters stall on the same thing: waiting for the client to send documents. Client document collection automation replaces the back-and-forth of emails and phone calls with a clear checklist, a secure place to upload, and reminders that keep going until everything has arrived.

Paralegals spend hours asking for the same records, IDs, statements and evidence, then sorting attachments that arrive with unhelpful file names in different inboxes. Cases are delayed, deadlines get tighter, and clients are often unsure exactly what is still missing. A system that knows what each matter needs, and keeps track of it, takes most of that work off your team.

How it works

How client document collection automation works

  1. A checklist per matter type

The matter type determines a checklist of required documents, so an immigration case and an estate plan each ask for the right things.

  2. A secure upload link

The client receives a secure upload link that shows exactly what is needed and what has already been received. Clients can upload from a phone or a computer, a few files at a time, without needing an account.

  3. Reminders for missing items

Automatic reminders go out for anything still missing, listing only the outstanding items, until the checklist is complete.

  4. Named and filed

Uploaded files are named consistently and filed into the right matter, so nobody has to sort through attachments.

What it connects to

It connects a client-facing upload portal to the case management system and storage the firm already uses. Staff see progress on each matter at a glance.

  • Secure upload portal

Gives each client one place to send everything, with a clear checklist.

  • Case management

Knows the matter type and receives the filed documents.

  • Cloud storage

Holds the files in the folder structure your firm uses.

  • Email and SMS

Sends the upload link and the reminders.

Questions

Is the upload link secure?

How secure it is depends on the portal and storage chosen, so it is something to decide during setup rather than assume. Good options use private, expiring links and encrypted storage, and keep documents out of email entirely. Confirm the final setup against your firm's own obligations.

Can the checklist change per case type?

Yes. Each matter type has its own checklist, and individual items can be added or removed for a specific client when their situation needs something different. Your team can update the standard checklists as practice changes. Optional items can be marked as such, so clients know what is essential.

How often are reminders sent?

You choose, for example every few days at first and then weekly. Reminders list only what is still missing, stop as soon as the checklist is complete, and can be paused for a client who has told you a document will take longer.

Where are files stored?

Wherever your firm already stores matter files, such as your case management system or the cloud storage linked to it. Files are named and placed in the right matter folder automatically, so they are where your team expects to find them.
